Safety Inspections
Running a Safety Inspection
Safety inspections are run from a machine record. Open the machine, tap New Inspection, and follow the steps.
Inspection Flow
1. Confirm Inspector
Select the technician conducting the inspection. This is recorded on the certificate.
2. Checklist
Work through the inspection checklist. Each item is marked as Pass, Fail, or N/A. Tap an item to expand it and add notes or photos.
The checklist is structured into sections (e.g., Pre-Shift, Fluid Levels, Operator Controls) for organized review.
3. Deficiencies
Any failed items are automatically flagged as deficiencies. You can add additional notes to each one. Deficiencies appear on the final certificate and trigger follow-up.
4. Notes
Add any general notes about the machine's condition that don't fit into a specific checklist item.
5. Signatures
Capture the inspector's signature and, if applicable, the operator's acknowledgment.
6. Submit
Tap Submit to finalize the inspection. A certificate PDF is generated immediately.
Critical Items
Some checklist items are marked as Critical. If a critical item fails, the inspection is flagged as requiring immediate attention. The app will not allow the inspection to be submitted without acknowledging critical failures.
Automatic Follow-Up
Deficiencies from a completed inspection generate a follow-up work order automatically. This ensures failed items don't get missed. The follow-up work order is linked back to the original inspection for traceability.
Certificates
Inspection certificates are generated as PDFs and include:
- Machine details (make, model, serial number)
- Inspector name and date
- Pass/fail summary per section
- Deficiency list with notes
- Signatures
Tap View Certificate on any completed inspection to open or share the PDF.
Expiry Tracking
Each machine shows when its last inspection was completed and when the next one is due. Overdue machines are flagged in the machine list and on the dashboard.
Inspection intervals are configured per customer or per machine type in Settings.
